The initial steps of the 3×3 process of writing are;

Analysis. The steps involve someone knowing the reason for the message that should be
communicated to the intended target and having the knowledge of how the word shall be directed
home. They include using letters, presentations, email, memo, and many others.
Anticipation. This deals with someone’s determination towards his or her audience and
determining how one’s audience shall receive the message. One has to look into two major factors
that shall select the kind of tone that shall be applied to direct the message to the audience. If the
news is to be directed to the boss or to someone considered to be honored, then the message should
wear a normal tone.
Adaptation. Practically this includes a combination of anticipation processes and analysis where
a message is choreographed to suit its intended audience. Adjustment of the message to the
audience intended involves finding out the possible reactions that the news shall receive. The
audience’s interests and needs should be put into considerations to establish a relationship that will
enable the achievement of the intended purpose.
Face to face channel is the best channel for sending the message. Factors that have
determined this communication channel is that the previous communication channels have been
failing to deliver results. Also, the audience has responded positively and conformed to it well.
The appropriate tone for the report should be formal. To achieve this tone, I had to select
carefully the words that I was to use in presenting and expressing the story. Since the audience
was a professional one, then the report had to sound a professional one too.
